1. Policy Statement
ALCForum is committed to ensuring a safe, respectful, and inclusive environment for all
participants, including children, young people, and vulnerable adults, during the Adbi Mela
and related activities. We recognise our duty of care and responsibility to safeguard the
wellbeing of everyone involved.
2. Scope
This policy applies to:
- All staff, volunteers, artists, and delegates involved in the Adbi Mela.
- All event activities, whether held indoors, outdoors, or online.
3. Principles
We are committed to:
- Prioritising the welfare of all participants.
- Taking a proactive approach to preventing harm or abuse.
- Responding promptly and effectively to safeguarding concerns.
- Ensuring all staff and volunteers understand their responsibilities.
4. Roles and Responsibilities
- Safeguarding Lead: CHANDER SHEKHER SHARMA– Responsible for overseeing
safeguarding procedures and responding to any concerns or incidents.
- Event Coordinators: Ensure volunteers and participants are briefed on safety procedures.
- Volunteers: Must report concerns to the Safeguarding Lead and act in line with this policy.
5. Code of Conduct
All those involved in the Adbi Mela are expected to:
- Treat everyone with dignity and respect.
- Avoid situations where they are alone with a child or a vulnerable adult.
- Never engage in physical punishment, inappropriate language, or discriminatory
behaviour.
- Report any safeguarding concern immediately.
6. Procedures
- Any safeguarding concern should be reported to the Safeguarding Lead.
- In the event of immediate danger, emergency services will be contacted (dial 999).
- All incidents will be documented and handled confidentially.
- Where appropriate, concerns will be escalated to local authorities or safeguarding boards.
7. Training
- All volunteers and staff will receive a basic safeguarding briefing before the event.
- Designated Safeguarding Leads will be trained in handling disclosures and managing
concerns.
8. Photography and Media
- Consent will be obtained before taking or using images of children or vulnerable adults.
- Signs will be displayed informing attendees that photography may take place.
9. Venue and Safety
- All venues will be risk-assessed in advance.
- Appropriate accessibility and safety measures will be in place.
- A first aid lead will be available during public events.
10. Review
This policy will be reviewed after the event and updated annually or as required.
